ZouthFla IT Services, LLC (“we,” “us,” or “our”) operates the WellRaven mobile application, website, and related online services (collectively, “WellRaven” or the “Platform”). We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use and share it, and your rights regarding that information.
1. Scope
This policy applies to all individuals who use WellRaven — including:
- Members and clients using our app or website;
- Trainers or professionals who register to provide services through the Platform; and
- Visitors who browse our website or interact with our content.
2. Information We Collect
a. Personal & Account Information (All Users)
- Registration & Sign-In: When you create an account, we collect your email address, username, and password.
- Profile Data: If you add an avatar, display name, or bio, this information is stored in your profile.
- Communication: Messages, posts, or content you create (e.g., comments in community forums, trainer messages) are stored as part of your account activity.
- Push Notification Tokens: If you enable notifications, we store your device’s Expo push token to deliver them.
b. Additional Information for Clients & Members
- Contact Information: Full name, phone number, and general location (city, state, or region) for scheduling or communication purposes.
- Preferences: Health or fitness goals, preferred training type (e.g., virtual or in-person), and scheduling availability.
- Payment Details: We do not store full payment card data; payments are processed by our third-party partner (e.g., Stripe). We may store limited transaction references or billing amounts for your records.
c. Additional Information for Trainers
- Professional Details: Full name, contact number, address or service location, gender (optional), and languages spoken.
- Credentials & Certifications: Professional licenses, uploaded documents, areas of expertise, certifications, education history, and references.
- Profile & Availability: Public trainer bio, specialties, rates, photos, videos, and available session times.
- Financial Information: Payment account details or Stripe Connect ID for receiving payouts.
- Verification Data: ID verification or tax details as required by law.
d. Device & Usage Data (All Users)
- Device Information: Device model, operating system, app version, browser type, and locale.
- Analytics & Logs: Anonymous usage metrics such as screens viewed, session duration, and error reports.
- Cookies (Web): The web version of WellRaven may use cookies or similar technologies for session management, analytics, and language preferences.
3. How We Use Your Information
For All Users
- Authentication & Account Management: To create, verify, and manage your account.
- Service Delivery: To provide access to WellRaven’s features such as habits, workouts, nutrition plans, and messages.
- Product Improvement: To analyze app and website usage and improve our products and performance.
- Support & Communication: To respond to your questions, provide updates, and send important notices.
For Clients
- Scheduling & Trainer Matching: To help you find trainers based on your preferences, goals, and location.
- Payment & Invoicing: To process your payments and generate transaction records.
- Communication: To enable secure in-app or email messaging with trainers.
For Trainers
- Verification: To evaluate and verify trainer applications, credentials, and compliance with our Trainer Agreement.
- Profile Display: To publish your profile on the Platform so clients can discover and book your services.
- Scheduling & Bookings: To manage your sessions, client bookings, and availability.
- Payments: To process and manage payouts through integrated payment partners (e.g., Stripe Connect).
- Compliance: To fulfill legal or tax obligations related to trainer payments.
4. Data Sharing & Disclosure
We do not sell or rent your personal data. We may share limited data only as follows:
- Service Providers: With trusted vendors under contract who help operate WellRaven (e.g., Supabase for hosting, Stripe for payments, email delivery providers).
- Trainer–Client Interactions: When you book or communicate through WellRaven, limited contact details (such as your name, preferred session time, or city) may be shared between the client and trainer to facilitate the service.
- Legal Compliance: To comply with court orders, law enforcement requests, or legal obligations.
- Business Transfers: In the event of a merger, acquisition, or asset sale, your data may be transferred to the new entity under the same protections.
5. Data Security
- Encryption: All data in transit is secured using HTTPS/TLS; data at rest is encrypted on Supabase servers.
- Access Controls: Row-Level Security (RLS) ensures users can only access their own records.
- Internal Policies: Access to personal data is limited to authorized staff and reviewed regularly.
- Payouts: Financial information is processed through Stripe’s secure systems; WellRaven does not store full banking or card data.
6. Your Rights & Choices
- Profile Management: You may update your personal, trainer, or client information within your account settings.
- Access & Deletion: You may request a copy or deletion of your data by contacting us at support@wellraven.com. Requests are processed within 30 days.
- Notifications: You can enable or disable push notifications at any time.
- Marketing Opt-Out: Unsubscribe from marketing emails via the link in the message.
- Trainer Account Termination: Trainers may deactivate their profile; certain verification or payout records may be retained for compliance.
7. Retention of Data
We retain your data only as long as necessary to:
- Provide the services you requested;
- Meet legal, tax, and accounting obligations; or
- Resolve disputes and enforce agreements.
Trainer verification and payout records may be retained for regulatory or tax compliance purposes.
8. Children’s Privacy
WellRaven is not directed toward individuals under the age of 13, and we do not knowingly collect personal data from them. If you believe we have inadvertently collected data from a child, please contact us immediately.
9. International Transfers
If you access WellRaven from outside the United States, please note that your information will be processed and stored in the United States, where data-protection laws may differ from your jurisdiction.
10. Changes to This Policy
We may update this Privacy Policy periodically. Changes will be reflected by the “Last updated” date at the top, and material updates will be communicated via the App or email.
